CHESF Field Trip and Activities Coordinator Responsibilities

 

Thank you for volunteering to be our CHESF Field Trip and Activities Coordinator.  It is our goal that CHESF offer a variety of enriching activities throughout the year to accommodate our diversified membership. You will serve on the Steering Committee under the direct leadership of the CHESF Secretary and will have the responsibility of coordinating our parent-lead activities.

Any member can organize a field trip or activity.  Some activities will be appropriate for a certain age group, many will overlap, and some events will be provided for the entire family.  We have committee chairpersons to represent different ages to ensure that each group is adequately provided for.  These chairpersons may enlist other members with similar aged children to help decide which events to offer.  This will provide an opportunity for parents and children to build relationships with other CHESF families as well as help share the responsibility of planning.  Our goal is to enlist enough individuals so that committee members are responsible for only two or three field trips a year.

One of your primary duties is to maintain the CHESF Master Planning Calendar and spread these activities throughout the month.  Our goal is to provide at least one activity a month for each age group either separately or combined without too much being scheduled during one week.  These activities are member-lead, so the number of activities provided depends upon how many parents step forward to plan an activity.

Your specific responsibilities would include:

With the assistance of the Steering Committee select chairpersons for Elementary, Middle School, High School, Community Service, Mom’s Night Out, Sports, and other groups as appropriate.  Our membership form lists areas of interest for each family to volunteer and this will be the primary area to solicit help along with personal contacts.

 Provide Field Trip Guidelines, Activity Planner and Field Trip Ideas to committee chairpersons.

Mentor and encourage chairpersons, suggest field trip ideas, and keep in contact monthly.

 Maintain the CHESF Master Planning Calendar and coordinate dates for CHESF field trips and activities.

The member planning an activity will write up a news announcement for you to review and submit to Communications Coordinator and Webmaster. Deadline for the monthly newsletter is the 28th of the month and Thursday at noon is the deadline for weekly e-mail updates and reminders.  After the event encourage member planner to submit an article for the monthly newsletter.

 Report to the Steering Committee orally or in writing at each properly scheduled meeting.  Steering Committee will meet in person four or five times throughout the year, at least in July, September and January and will at other times communicate via e-mails.

 Train a replacement for this position.
