CHESF Commencement Committee Guidelines

Thank you for volunteering to be on the Commencement Committee.  It is our goal that CHESF offer an annual commencement ceremony for all members.  A Commencement Coordinator will be appointed to serve on the Steering Committee under the direct leadership of the CHESF President and will have the responsibility of organizing the event. The Coordinator shall enlist volunteers and appoint a Chairperson to represent K – 11th grade students and a Chairperson to represent the seniors to ensure representation of all age groups in commencement exercises. Coordinator will hold meetings as needed and delegate responsibilities as appropriate.  Here are some guidelines to help with planning the annual commencement.  We are looking forward to a great year and appreciate your involvement.

Survey graduating seniors as to preferences (cap/gown colors, diploma cover, type reception, etc.)

Reserve location for Commencement and set date in accordance with Steering Committee Calendar of Events. If a fee will be charged for using facility, seek approval from Steering Committee.  Arrange for tables, chairs, microphones, piano, time to open for setup, rehearsal, etc.  Consider collecting a love offering if no fee is charged.

 Utilize the CHESF website, monthly newsletter, and e-mails to keep membership apprised of progress.  Write up a news announcement and submit to Communications Coordinator in accordance with deadlines.

 Work with Yearbook Advisor to arrange for senior photographs and submissions for yearbook.

 Advise seniors of FPEA graduation requirements and deadlines.

bullet

 Advise seniors of options for class rings.

bullet

Determine operating budget, and submit to Steering Committee by end of October for approval.  Determine cost to each graduating senior.  Set CHESF membership deadline for graduating seniors.

Collect any fees charged, and keep list of expenses; submit to Treasurer for reimbursement or payment.

bullet

Arrange for emcee, guest speakers, if desired, and plan agenda.

bullet

Determine type of refreshments served and arrange for caterer or volunteers.

bullet

Make plans for graduation party if desired.

bullet

Arrange for decorations, gifts, awards, etc. as desired.

bullet

Determine length and content of senior presentations, set deadlines to submit for approval, and advise when approved.

Determine vendor, style, and place order for diplomas.  Follow up as needed.

Determine certificates and awards for K - 11th grade presentations.

bullet

 Determine vendor, color of cap and gowns for seniors and place orders.  Determine gowns for kindergarten graduation.  Follow up as needed.

Respond to all inquiries in a timely manner.

Report to Steering Committee orally or in writing at each properly scheduled meeting

Prepare and copy program (be sure to thank facility provider, speakers and volunteers.)

Plan for someone to arrive early for setup, be responsible for cleanup after event, and assign other positions for volunteers to serve.

Send thank you notes/e-mails after event to speakers, facility provider, etc. as appropriate.

bullet

Provide news article for CHESF monthly newsletter with details of event.

bullet

Train replacement for this position for next year.
