Excerpt from CHESF Bylaws Section 4 – Job Descriptions for Steering Committee Coordinators 4.1 Membership Coordinator – The Membership Coordinator shall maintain records on visitors and prospective new members, distribute brochures, and promote CHESF membership; shall provide an electronic new member packet to each new CHESF member, and upon request mail a copy; shall make recommendations to the Steering Committee to improve the brochures and new member packets; shall collect membership forms, enter computer data and distribute information provided to the appropriate coordinator or committee chairperson; shall be responsible for submitting reports periodically for FPEA membership; shall solicit, mentor and encourage the Yearbook Advisor and provide her/him with a copy of Committee Guidelines; shall submit items to the Communications Coordinator in accordance with newsletter deadlines; shall report to the Steering Committee orally or in writing at each properly scheduled meeting and shall agree to train a replacement for this position 4.2 Communications Coordinator – The Communications Coordinator shall be responsible for maintaining and updating the e-mail list of the membership and will be responsible for sending e-mails in a timely basis; shall serve as the collecting point of information from members as well as outside groups and monitor the primary e-mail account; shall solicit, mentor and encourage the Newsletter Editor, the Webmaster and the Phone Chairperson and provide them with a copy of Committee Guidelines; shall report to the Steering Committee orally or in writing at each properly scheduled meeting, and shall agree to train a replacement for this position. 4.3 Educational Fairs Coordinator – The Educational Fairs Coordinator shall recommend to the Steering Committee which fairs will be offered by CHESF for current year and be responsible for planning two to three Fairs. Options would include but not be limited to Science, International, History, Biography, Art, Debate, Talent Show and Spelling Bee. He/she shall solicit, mentor and encourage Committee Chairpersons for selected Fairs and provide them with a copy of Committee Guidelines; shall be the CHESF contact for Enrichment classes offered to homeschoolers; shall gather and disseminate information on testing and maintain an evaluator’s list; shall ensure that news items outlining the details of each event are provided to the Communications Coordinator in accordance with newsletter deadlines; shall report to the Steering Committee orally or in writing at each properly scheduled meeting and shall agree to train a replacement for this position. 4.4 Fellowship Coordinator – The Fellowship Coordinator shall be responsible for planning two to three family fellowships each year for the purpose of building relationships and support among member families with an equal emphasis on uniquely male and female social networking; shall solicit, mentor and encourage Committee Chairpersons for each event and provide them with a copy of Committee Guidelines; shall ensure that news items outlining the details of each event are provided to the Communications Coordinator in accordance with newsletter deadlines; shall report to the Steering Committee orally or in writing at each properly scheduled meeting, and shall agree to train a replacement for this position. 4.5 Field Trip and Activities Coordinator – The Field Trip and Activities Coordinator shall maintain the CHESF Master Planning Calendar and solicit, mentor and encourage Chairpersons including but not limited to the following Committees: Elementary, Middle School, High School, Community Service, Sports and Mom’s Night Out to provide a diversity of enriching activities for the school year. He/she will provide Field Trip Guidelines and Activity Planner to the Committee Chairpersons; shall ensure that news items outlining the details of each event are provided to the Communications Coordinator in accordance with newsletter deadlines; shall report to the Steering Committee orally or in writing at each properly scheduled meeting, and shall agree to train a replacement for this position 4.6 Commencement Coordinator – The Commencement Coordinator shall be responsible for organizing the annual commencement; shall solicit, mentor and encourage a Chairperson to represent K – 11th grade students and a Chairperson to represent the seniors to ensure representation of all age groups in commencement exercises; shall provide them with a copy of Committee Guidelines; shall provide a budget proposal to the Steering Committee for approval; shall report to the Steering Committee orally or in writing at each properly scheduled meeting, and shall agree to train a replacement for this position. |
